What have we done to make events sustainable?

12 December 2023We conducted a survey with our employees to find out how they manage events by identifying the activities they plan and execute before, during and after each event.

With this exercise, lessons learned and opportunities for improvement were collected

Based on the results achieved, actions were proposed that were piloted in three events (Soy Sostenible, Vitritur and Expotalento) and are related to gender equity, diversity and inclusion, human rights, safety and environmental issues. Environmental:

We disseminate the invitation to the event with messages that motivate participants to adopt sustainable mobility practices (carpooling, Transmilenio or SITP, bicycles). We carry out an attendance control to order food and materials according to the number of attendees. We use reusable materials as part of the elements that make up the stage. We request food and beverages with biodegradable or reusable containers and packaging. We conducted an awareness campaign on the proper disposal of waste at the ecological points (here we used a superhero named Reciclón, who led by example the proper disposal of waste). We characterized the waste generated to determine the amount of kilograms that can be used and those that cannot, promoting the practice of recycling and eliminating the disposal of waste in the Doña Juana landfill. We measure our carbon footprint and offset it by planting trees or leasing corporate forests. We identify and take advantage of natural light sources to avoid the use of artificial light.

Gender:

We applied the recommendations of the inclusive communications manual in all texts, dialogues, records and publications related to the event. We identify whether the topics to be discussed at the event have a gender inequality that can be addressed at the event. We invite speakers and panelists to highlight women's leadership roles in traditionally masculinized fields (e.g., economics and politics) as well as men's leadership roles in traditionally feminized fields (e.g., education, caregiving). Likewise, we recommend that the panel moderator maintain an equal distribution of time among participants. We recommend the reporting and follow-up of the event with sex-disaggregated data with some findings on gender equity. We report sustainable event results to stakeholders through communication channels.

Diversity, inclusion and HR. HH:

We incorporated in the registration form an item to identify special requirements of attendees regarding disability, for example, sign language interpretation. We identified the attendees who will attend the event and have reduced mobility, to inform the Security area to reserve parking spaces for this population. Likewise, we make sure that the restrooms for people with disabilities are in proper working order, in collaboration with the Administrative and Financial Vice-Presidency. We guarantee the signage of preferential spaces for people with disabilities. We suggest a printed sign to designate a preferential line at the point of registration of attendees and delivery of refreshments or coffee station. We provide support material or services that allow people with disabilities to have access to the presentations and speeches of the event, for example, Braille printouts and sign language interpretation. If sign language interpretation is required, it is available upon request.

Security and culture of legality:

We performed the verification of suppliers as indicated in the procedure for consulting restrictive lists (GRI-P-003) for the execution of events. We consult and confirm if any of the people invited as speakers have a security scheme that handles firearms in order to inform the Physical Security Management area. We promote the registration and visible identification of participants and support personnel at events when entering the different venues. We carry out reminders of security measures and care of belongings aligned with the CCB's physical security management process.

Where are we and what's next?

We created a guideline that is in the process of revision.This guideline establishes and determines the criteria and tools for the management of sustainable events, focusing on issues related to: gender, human rights, accessibility, efficient transportation, waste management, security, food and beverage, equitable participation among panelists, etc.HH., accessibility, efficient transportation, waste management, security, food and beverage, equitable participation among panelists, etc. It also has a series of measures to guide those who manage events to make them more sustainable, contributing to the fulfillment of the Sustainability and Shared Value Policy.

The guideline has a number of definitions, including the following:

Sustainable event: is one that is planned, organized and executed taking into account the environmental, social and economic impact, in order to minimize its ecological footprint and contribute positively to the community and the environment. These events are designed considering various sustainable practices, from the choice of environmentally friendly locations to waste management, energy efficiency, promotion of social equality and inclusion, among others.
